Physiotherapy clinic software: what to look for

By Where is my Doctor (WIMD)

Physiotherapy practices should test repeat-session scheduling, longitudinal patient records, therapist availability and clear payment tracking. Choose software by walking through a complete treatment-course administration workflow, not just a single appointment. Confirm specialist documentation and package features in a demo rather than assuming they are included.

Test a course of visits

Use a fictional patient who needs several sessions. Schedule the first visit, add later visits and reschedule one session. Check what happens when a therapist is unavailable and whether staff can distinguish an attended session from a cancellation.

If your practice shares rooms or equipment, ask the vendor how those resources are managed. A calendar that tracks doctors alone may not cover every constraint in a rehabilitation clinic. Write down your requirements before comparing products.

Keep records useful across sessions

Ask how initial assessments, session notes and progress observations are stored and retrieved. Test whether a second therapist can understand the record without searching through unrelated files. Confirm who can view or edit information and how corrections are handled.

If you need specialised outcome measures, exercise-programme tools, attachments or templates, have the vendor demonstrate them. These are evaluation questions, not claims that every clinic platform or WIMD includes them.

Match charges to your workflow

Ask how session payments, outstanding balances, refunds and packages are represented. If you sell a course of treatment, verify package accounting explicitly. Test a partially paid course and a patient who stops attending before all sessions are used.

For WIMD, an appointment booked by the clinic costs ₹1 and a reminder costs ₹1. A prescription is a separate ₹1 action only when created; do not automatically include it in every physiotherapy visit estimate. Patient-booked appointments cost ₹5. Compare your actual workflow with the published pricing.

Bring your team to the demo

Have reception test bookings and payments while a clinician tests patient records. Use fictional data, note repeated manual steps and request confirmation of any required feature that was not shown. The aim is a workflow your team can use consistently throughout a course of visits.
